Trip planner template for iPhone and Mac

I made the Travel template so a trip's bookings and plans live in one place. Every flight, stay or thing to do is a task, with the date it happens and the place it's at.

The board has three stages. To Do is what you still need to book or sort out, Waiting holds anything you've asked for and haven't had confirmed yet, and Done is everything that's booked. The example below is a two-week trip to Japan, about three weeks before leaving.

An unfolded iPhone Duo showing the Travel board in Tasks for two weeks in Japan. To Do has travel insurance, Visit Japan Web, packing and the JR Pass. Waiting has a sushi dinner in Ginza, a ryokan in Hakone, a tea ceremony in Kyoto and a hotel in Osaka. Done has flights to Haneda, hotels in Shinjuku and Kyoto and teamLab Planets tickets.

Create it in Tasks

  1. On iPhone, tap + at the bottom of the Home screen and choose Project. On Mac, press ⌥⌘N, or click + at the bottom of the sidebar and choose Project.
  2. Type a name, pick a colour and an icon, then tap the checkmark.
  3. Under Project Template, tap Travel. The stages change to To Do, Waiting and Done. Tap Next.
  4. Check the fields the template brings, add anything else you want on every task, then tap the checkmark to create the project.

The projects guide shows each step with screenshots.

Download it

You can also download the template as a file and import it into Tasks. There are two versions. One is the board above with its 14 example tasks, so you can see how it works. The other is empty and ready for your own work. Both have every stage, field and tag, including the ones the app only suggests, and time tracking on every task.

  1. Download one of the files on your iPhone, iPad or Mac.
  2. Tap the file, in your downloads or in Files. It opens in Tasks.
  3. Import Data? tells you what it will add. Tap Import, and the project appears on the Home screen.

If tapping the file doesn't open Tasks, open Settings in Tasks, scroll down to Import Data under Data & Integrations, tap it and pick the file. The example dates are made up, so move them to your own schedule. The backup and import guide has more on importing.

Make it yours

Tags starts with Transport and Stay. Tap Tags on the Fields step while you set up the project, then tap Activities, Packing or Documents under Suggested Tags to add them too. Both downloads below already include them.

Give a task a place and choose When I Arrive, and Tasks reminds you when you get there, which is handy for things like picking up a rail pass at the station. The reminders guide shows how to set the place and the radius.

Travelling with other people? Share the project so everyone sees the same bookings and can tick things off. The sharing guide covers inviting people.

Is the Travel template free?

Yes. Every template is in the free version of Tasks. The first two projects are free, and more projects need Tasks Plus.

Can I keep tickets and booking confirmations with each task?

Yes. The template has an Attachments field. Open it on a task and choose Photo Library for a screenshot or Choose Files for a PDF.

Can I plan a trip with the people I'm travelling with?
