Who we are

Tasks is made by Msquare Labs, a small independent developer registered in Mumbai, India. In this policy, "we" means Msquare Labs and "Tasks" means the apps for iPhone, iPad, Mac and Apple Watch and this website. Questions go to tasks@msquarelabs.com.

Where your tasks live

Everything you create is saved on your device first. Each project then syncs to one of three places:

• iCloud. If you don't sign in, every project uses your private iCloud account and syncs between your Apple devices. Apple stores it under your Apple Account, and we have no access to it.
• Tasks Cloud. Our own servers, hosted in the United States (the us-east-1 region, in Virginia), used for projects you share with other people or with an AI assistant. Once you sign in, new projects use Tasks Cloud unless you choose iCloud. We store the project and everything in it: tasks, fields, tags, comments, attachments, time tracking, and saved places for location reminders.
• Apple Reminders. Lists you connect stay in the Reminders app. Tasks reads and edits them on your device and doesn't send them to us.

Moving a project from iCloud to Tasks Cloud copies it to our servers and removes the iCloud copy. Tasks asks before it does this. If you live outside the United States, your Tasks Cloud data is transferred to and stored there.

Your account

An account is optional. You create one with Sign in with Apple or with a one-time code sent to your email. We keep:

• your name, email address, an optional display name and profile photo,
• an identifier for each device you sign in on, and a token to send it notifications.

If you use Sign in with Apple with Hide My Email, we only see the relay address Apple gives us.

Sharing with other people

When you share a project, everyone in it can see the whole project, including its tasks, comments, attachments and time tracking. Members can see each other's name, display name, profile photo and, where you've shared it, email address. Invite links and email invites expire, and you can remove anyone at any time.

AI assistants

You can connect an AI assistant, such as ChatGPT or Claude, through the Model Context Protocol (MCP) at api.thetasks.app/mcp. Here is how that works:

• Nothing happens until you connect it. You sign in to Tasks and approve access from inside your assistant.
• It only works in projects you add it to. There it acts like a collaborator: it can read the project, and create, update and comment on tasks. It is always labelled Agent and can never be an owner.
• The assistant's provider receives what it reads. The tasks and comments your assistant reads are sent to the company that runs it, under that company's own privacy policy. Check it before you connect.
• You can stop it at any time. Remove it from one project, or choose Revoke access in Settings, then AI Assistants. Revoking removes it from every project and returns its tasks to you.

Tasks itself doesn't send your tasks to an AI company. Smart features such as tag suggestions run on your device with Apple Intelligence. See Bring your AI assistant into Tasks for the setup steps.

Voice, location and focus

Tasks asks for each of these permissions only when you use the feature, and you can turn them off in Settings.

• Voice capture. The microphone listens only while you hold the voice button. Apple's speech recognition turns it into text, on your device when your device supports it. Tasks then uses Apple Intelligence to fill in the details, on your device or on Apple's Private Cloud Compute, which Apple built so requests aren't stored. We never receive your voice or a recording of it.
• Location reminders. Tasks uses your location to find nearby places and to remind you when you arrive at or leave a place you saved. Your location is checked on your device and never sent to us. The places you save are stored with the task.
• Block Distractions. This uses Apple's Screen Time. The apps and websites you choose stay on your device, and we can't see them or your activity.
• Camera, photos and files. Only the images and files you attach are used. They're stored with the task, in iCloud or Tasks Cloud.
• Face ID. Locking a project uses Apple's Face ID on your device. We never receive your face data.

Analytics

Why we collect analytics at all. Tasks is an indie app. For years we collected nothing, and we made decisions by guesswork while bigger competitors learned from how their apps were used. So we now collect a small amount of usage information, only to decide what to fix and build next.

Why three tools. The app currently sends the same usage events to PostHog, Mixpanel and MostlyGoodMetrics because we're testing which one works best for a small team. Once we've picked one, we'll remove the other two and update this page.

What an event looks like. Something like "task created" or "project shared", sometimes with a count or a yes or no value.

• Events never include the titles, notes, comments or attachments of your tasks.
• If you aren't signed in, events aren't tied to your name. If you are, they're linked to your Tasks account, including your name and email.
• These services may estimate your country or city from your IP address.
• We don't use analytics for advertising, and we don't track you across other companies' apps or websites.

This website uses privacy-friendly, cookie-free statistics to count visits. Text you type into the support search is never sent.

Purchases

Tasks Plus is sold through the App Store. Apple handles the payment, so we never see your card details. We use RevenueCat to check what you've bought and to restore purchases on your other devices. RevenueCat receives your purchase history and, if you're signed in, your name and email.

Other things the app does

• Link previews. When you add a link, your device contacts that website to show its title and icon.
• Notifications. Reminders are scheduled on your device. Tasks Cloud uses Apple's push service to tell your devices when something changes and to update a running timer on your Lock Screen.
• Announcements. The app occasionally downloads a small file of in-app announcements. It contains nothing about you.
• Support email. If you write to us from the app, the email includes your app version, device model, system version, language and a diagnostic log, so we can fix problems faster. You can delete these before sending.

Who we share data with

We don't sell or rent your data. We only share it with:

• the service providers named on this page, who process it for us and not for their own purposes,
• the people and AI assistants you add to a project,
• authorities, when the law requires it.

Your choices

• Stay local. Use Tasks without an account and your projects stay in your iCloud.
• Export. Settings, then Export Data saves a copy of everything as a file you keep.
• Sign out. Your Tasks Cloud projects are removed from that device. Your iCloud projects stay.
• Delete your account. In Settings, open your profile and choose Delete account. This permanently deletes your account, every Tasks Cloud project you created and every other trace of you on our servers. Projects you created are deleted for the people you shared them with too, so let them know first. It can't be undone. Your iCloud projects aren't affected, and you can delete them in the app or in iCloud settings.
• Ask us. Email tasks@msquarelabs.com to see, correct or delete the data we hold about you, or to have your analytics data removed. We reply within 30 days.

How long we keep data

We keep your Tasks Cloud data while your account is open. When you delete your account, we delete it and every trace of you from our servers, except where the law requires us to keep something.

Children

Tasks is not made for children under 13, and we don't knowingly collect their data. If you think a child has created an account, write to us and we'll delete it.

Changes to this policy

If we change how Tasks handles your data, we'll update this page and the date at the top. For important changes, we'll also tell you in the app.
