Find the Right Work with Views, Smart Lists and Search

Choose a list or Kanban board, save a simple Smart List, and fix empty results by checking the task fields behind your filters.

Start with the question you need answered: What is due today?, What is waiting?, or Where is that hotel task? Choose the view that gets you to the answer fastest.

2. Make a Smart List you will use again

A Smart List saves a filter and updates as tasks change. Try a simple list called Travel before combining lots of conditions.

  1. Give two relevant tasks the Travel tag.
  2. Create a Smart List and choose the projects to include.
  3. Add a tag condition for Travel.
  4. Check that your two tasks appear, then save the list as Travel.

In this example, Priority is set to High. Date, Tags and Assigned to are in the same menu; Create Smart List saves a view you want to use again.

A task in a Smart List is the same task from its original project. Editing or completing it there updates the original; you are not creating a copy.

Set the source projects and criteria, then save with the checkmark. This example also offers Hide completed tasks.

3. Add another condition only when you need it

To focus on dated travel work, add a date condition. For a shared project, an assignee condition can help you see your own tasks. Priority or Task Type can narrow the list further when you already use those fields.

Set the value on the task before expecting the filter to find it. For example, an undated task will not match Today simply because you plan to do it today.

4. Fix an empty view

Open the task in its original project. Check that the Smart List includes that project and that the task has the date, tag or other value you are filtering for. Then remove one filter at a time until the task appears.

If you only remember a word such as hotel, search for it directly. You do not need a Smart List for a one-time search.
