Use Tasks Faster with a Keyboard and Trackpad

Learn a few useful Tasks keyboard shortcuts, change the selected task and fix missing date, tag, priority or assignee fields.

Start with three keyboard shortcuts: create a task, find a task and complete it. On iPad with a keyboard or on Mac, these cover much of the work you repeat every day.

Try these first

Open Tasks and try Command-N to create a sample task. Save it, use Command-F to find it, then select it before trying a task action.

Default shortcut reference

⌘ means Command; ⇧ means Shift. Available commands and customised shortcuts can differ in your installed version.

On Mac, check the app’s menus for available commands and their shortcuts. If your Tasks settings include Keyboard Shortcuts, use that screen to review or change supported task actions.

Select the task before changing it

Example: plan one task for today

  1. Select “Send the proposal”Make sure this is the task you want to change.
  2. Press Command-TApply Today using the default shortcut.
  3. Check the Date fieldConfirm the task now has today's date.
Task actions apply to the selected task. A date action also needs a Date field in that project.

Not seeing a Date field, or Today does nothing? Add a Date field to that task’s project. If the project has multiple date fields, check which one changed; the date shortcut uses the first one.

Not seeing Tags, Priority or Assigned To? Add the field you need: Tags, Priority or Collaborators. To change the available status choices, use the status guide.

If a command still does nothing, leave the text editor, select the task again and check the shortcut shown in your app. A system shortcut or a custom key combination may take precedence.

Use your trackpad when moving things is easier

Drag tasks to reorder a list or move a card between status columns on a board. Check the destination before releasing the card, then confirm its new position or status.
