Share Projects, Assign Tasks and Keep Comments Together

Share a project, choose who handles each task, and keep comments and files together. Find help for missing Collaborators and Attachments fields.

Give everyone one place to see what needs doing and who is doing it. A small shared project works well for a trip, a household list or a team handoff.

1. Share one project

  1. Open the project you want to share, such as Weekend trip.
  2. Open its sharing options.
  3. Invite someone by email, or create a public invitation link to send to the people joining.
  4. Ask them to accept the invitation and open the project.

Only the person sharing a project needs Tasks Plus; invited collaborators can join without buying their own subscription.

2. Give the next action an owner

Open Book the hotel, choose the person handling it in the Collaborators field, and save. The field may have a custom name such as Assignee.

For a simple split, one person owns Book the hotel and another owns Buy train tickets. The task title says what to do; the assignee says who will do it.

Open Assigned to on the task and choose the collaborator responsible for the next action.

3. Put the decision on the task

Add a comment such as Choose the refundable room; arrival is around 6 pm. When the booking is confirmed, attach the confirmation so everyone can find it on the same task.

  2. Owner: the person bookingOne person knows they are handling the next move.
  3. Comment + confirmationThe room decision and booking file stay beside the action.
A useful shared task answers three questions: what needs doing, who is doing it, and where the details are.

4. Keep the status clear

Choose a few stages everyone understands, such as To do, In progress and Done. Move the task when the work changes, and mark it complete once the booking is confirmed.

Before you add more tasks, have a collaborator open the example. They should be able to find their action, its discussion and the current file.
